Job Summary
We are seeking a highly trusted, execution-focused Executive Operations Specialist to work directly with the Founder and President of a global risk advisory firm.
This role combines executive operations, systems management, and thought leadership support. The ideal candidate is someone who excels at follow-through, organization, and prioritization, while also being able to translate complex ideas into clear, structured, and professional written content.
You will act as a strategic extension of the Founder—ensuring operations run smoothly, priorities move forward, and external communications and materials are consistently polished and aligned with the firm’s voice and standards.
This is a high-impact role suited for someone who is operationally strong, intellectually curious, and comfortable working closely with senior leadership in a fast-paced, globally distributed environment.
Core Responsibilities
Executive Operations & Prioritization
Coordinate meetings with senior executives, partners, regulators, academics, and investorsManage and triage email and communications, flagging priorities and drafting responses when appropriatePrepare briefing materials ahead of meetings and track follow-ups and action itemsSupport day-to-day execution of Founder priorities
Workflow, Systems & Execution
Track tasks, deadlines, and deliverables across multiple initiativesMaintain and optimize operational systems (Notion, shared drives, trackers)Ensure documents and materials are well-organized, version-controlled, and easy to accessProactively follow up with internal and external stakeholders to keep initiatives moving
Thought Leadership & Content Development
Draft first versions of:Blog postsLinkedIn posts and thought leadership commentaryTalking points or outlines for articles, panels, and presentationsConvert rough notes, voice memos, or verbal direction into structured draftsConduct background research to support content accuracy and relevanceIncorporate edits and feedback efficiently; all final content remains Founder-approved
Materials & Digital Support
Format, proofread, and finalize decks, one-pagers, proposals, and executive correspondenceSupport preparation of presentations and executive-facing materialsSchedule and manage LinkedIn and select external communicationsCoordinate updates to simple digital assets (bios, event pages, profiles)
Research & Coordination
Conduct targeted research on regulatory developments, industry trends, partners, and eventsSupport preparation for speaking engagements, publications, and collaborationsAssist with logistics for webinars, executive forums, and international initiatives
Professional Standards
Handle sensitive information with discretion and sound judgmentRepresent the firm professionally in all written and external communicationsMaintain confidentiality, protect intellectual property, and ensure brand consistency
Key Qualifications
Strong execution and organizational skills; details do not slipComfortable drafting professional, high-level content under directionBackground or exposure to compliance, legal, risk, governance, policy, finance, or professional services strongly preferredComfortable working directly with a Founder and senior-level stakeholdersSelf-directed, resourceful, and able to manage ambiguity and shifting priorities
Technically fluent with tools such as Mailchimp, Google Workspace, Outlook, Zoom, Slack, Notion, LinkedIn, Canva (or similar)
Compensation
1,200 - 2,300 USD/month
