Job Description

iO-Sphere | London | Hybrid | Full-time or Part-time

You're the person who keeps everything running. While others get overwhelmed by high-volume admin, you find satisfaction in a clean tracker, zero missed follow-ups, and nothing falling through the cracks. You've managed large caseloads before — maybe in student administration, case management, customer success ops, or programme coordination. You know how to chase, track, and keep 100+ people on track without breaking a sweat. If you love organised systems, thrive on admin, and want to be the backbone of a fast-growing training company — we should talk.

About iO-Sphere

Traditional training is broken. People finish courses with theory but no real capability — the experience gap. We solve that.

At iO-Sphere, learners don't sit through lectures. They come to work in PRISM, our fully simulated company with 500m+ rows of real data, where they tackle realistic business problems and build practical skills they can use immediately. Combined with high-touch coaching from people who've actually done the work, we deliver real capability development — not just content consumption. We're one of the UK's fastest-growing Data & AI training companies, running skills-levy funded programmes for working professionals in Data Analytics, AI Skills for the Future, and Data & AI Strategy. Our learners are ambitious — but they're also juggling jobs, families, and life. Keeping them on track requires serious operational grip. That's where you come in. The Role You'll be the operational engine behind 2-3 Technical Coaches, managing the admin, tracking, and chasing that keeps 100-150 learners progressing. Your job is to handle the high-volume coordination work so our Technical Coaches can focus on what they do best — developing real capability. This is an admin-heavy role. You'll spend most of your time in our learning platform (Aptem), trackers, and dashboards — updating records, chasing deadlines, flagging issues, and keeping everything accurate. If that sounds tedious to you, this isn't the right fit. If it sounds satisfying, read on. Day-to-day, this means:Tracking progress across 100-150 learners — knowing who's on track, who's behind, and who needs chasingRunning high volumes of check-ins, reminders, and follow-ups to keep learners movingKeeping our learning platform (Aptem) accurate and up to date — progress records, session notes, intervention logsFlagging at-risk learners early so Technical Coaches can step in before problems escalateChasing submissions, deadlines, and documentation — consistently and proactivelyRunning brief support check-ins for learners struggling with organisation or time managementHelping learners understand what's expected of them and what 'good' looks likeCoordinating with Technical Coaches to ensure nothing slips through the gapsEscalating safeguarding or wellbeing concerns promptlySupporting onboarding so new learners integrate smoothly into their cohorts The Impact We're rated 4.9 stars on Google — and operational excellence is a big part of why. When learners stay on track and nothing falls through the cracks, they succeed. That's your impact. We're also at an inflection point. 700+ learners trained, real momentum, and 2026 is when we scale. You'll help shape how we run learner operations as we grow.
