About The Role

We are seeking a highly organized and proactive Executive Assistant to support the Chief Technology Officer (CTO) at AutoRABIT. This role requires an individual who excels in a fast-paced, remote environment and is adept at managing logistics, schedules, and priorities within a dynamic technology organization. The Executive Assistant will serve as a crucial operational partner to the CTO, facilitating efficient communication, coordinating meetings, managing travel arrangements, and overseeing expense reports. The ideal candidate will be detail-oriented, communicative, and capable of enabling leadership to focus on strategic initiatives by handling day-to-day administrative tasks effectively.

The successful candidate will demonstrate a proactive approach, staying two steps ahead of the CTO’s needs, and balancing flexibility with reliability. Qualifications

Proven experience as an Executive Assistant, Administrative Coordinator, or similar roleProficiency with Google Workspace or Microsoft 365 (Calendar, Docs, Excel, Slides)Comfortable with Slack, Zoom, and other modern remote work toolsExcellent organizational and time management skillsStrong written and verbal communication abilitiesHigh discretion and ability to handle confidential informationSelf-starter mindset with a keen eye for detailAbility to adhere to internal controls and processesMust be eligible to work in the USA

Responsibilities

Manage complex calendars, prioritize meeting requests, and coordinate internal and external appointmentsArrange travel logistics including flights, accommodations, and local transportationPrepare, submit, and track expense reports on behalf of the CTOAct as a liaison between the CTO and internal/external stakeholders to facilitate communicationEnsure timely responses and follow-up on key action items and requestsSchedule and coordinate leadership, team, and cross-functional meetingsSupport operational workflows related to product development, engineering, and strategic planning initiativesAssist in documenting follow-ups, decisions, and action items during team syncs and meetingsMonitor and track key dates, milestones, and deliverables relevant to the CTO’s portfolio
