About The Role
We are seeking a highly organized and proactive Administrative Assistant 3 to become a vital part of our supportive community. This role requires a self-starter who can anticipate needs, take initiative, and effectively manage a variety of administrative functions. The successful candidate will provide comprehensive support to senior leadership, including managing complex schedules, coordinating meetings and travel arrangements, and handling confidential information with professionalism. Working closely with a Senior Vice President, this position offers an opportunity to contribute significantly to the efficiency and effectiveness of our executive team. The role is hybrid, based in Washington, DC or Louisville, KY, with a requirement to work two days in the office each week.Qualifications5+ years of administrative experience supporting senior leadershipProven ability to coordinate complex travel arrangements, including flights, accommodations, and ground transportationProficiency in Microsoft Outlook, Word, and PowerPoint, with a strong understanding of office suite toolsExperience navigating multiple systems and software applications concurrentlyHigh level of professionalism with polished corporate demeanor and executive presenceExceptional attention to detail and confidentialityStrong communication skills, both verbal and writtenAbility to prioritize tasks and manage multiple initiatives effectivelyFlexibility to support urgent requests, including availability during nights and weekends as necessary
Responsibilities
Manage and maintain calendars for senior executives, scheduling meetings and appointments efficientlyCoordinate internal and external meetings, including logistics, travel arrangements, and meeting amenitiesPrepare, transcribe, and proofread correspondence, reports, presentations, and meeting minutesHandle expense reports and ensure accurate and timely reconciliationBuild and maintain positive relationships across departments and with external stakeholdersAssist with special projects and administrative tasks as assignedEnsure the confidentiality and security of sensitive information at all timesSupport the organization’s policies and procedures, providing guidance and interpretation when needed
